Overview

The Marketing and Admissions Coordinator at Miller Healthcare is responsible for spearheading marketing initiatives and overseeing the admissions process to ensure the seamless transition of new residents into the facility. This role requires conducting external comprehensive medical assessments, evaluating referrals, and maintaining robust relationships with referral sources. Additionally, the coordinator will develop strategic marketing plans to sustain and increase the facilitys census and payer mix. This is a full-time, salaried exempt position that demands clinical knowledge, marketing expertise, and strong interpersonal skills. RN licensure is preferred. As a salaried professional, you may be expected to work above your FTE. Demonstrates flexibility with assignments within professional scope/duties/licensure.

Essential Duties

  • Medical Assessments: Conduct external comprehensive medical assessments of prospective residents within one business day of referral, ensuring that the clinical capabilities of the facility align with the residents' needs.
  • Referral Acceptance: Determine referral acceptance based on the clinical capabilities of the facility and obtain payor verification as outlined in the Affinity Health Services Admissions and Marketing Guide.
  • Referral Source Engagement: Make daily in-person visits to hospital social workers/discharge planners, hospitalists, physicians offices, case managers, clergy, attorneys, trust officers, senior citizen support groups, satisfied families, and other current and potential referral sources. Use sales skills and presentation techniques to secure the targeted number of inquiries, referrals, and admissions.
  • Documentation and Reporting: Responsible for documenting weekly referral reports and participating in assigned and required conference calls and educational programs.
  • Community Outreach: Raise community awareness of the high-quality care and services offered by Miller Healthcare by presenting to professional organizations, hospitals, physicians, churches, AARP groups, AAA, and other relevant groups.
  • Marketing Action Plan: Develop and maintain the facilitys monthly goal-driven marketing action plan, setting specific objectives and tasks to achieve the targeted budgeted census occupancy and payer mix.
  • Competitive Analysis: Complete an annual Competitive Analysis that includes on-site visits and submit comprehensive competitive analysis reports.
  • Admission Coordination: Work with appropriate facility staff to facilitate a smooth admission transition for all residents. This includes managing, timely responses, and necessary follow-up with all inquiries, walk-in tours, and telephone referrals.
  • Admissions Documentation: Provide support and assistance with the completion of necessary admission paperwork and fulfill requests for information.
  • Admission/Referral Log Management: Input and manage the daily Admission/Referral log, and follow policy and procedures for future admissions. Review facility beds with Social Services and recommend transfer and/or discharge activity to maximize available beds and services as outlined in the Affinity Health Services Admissions and Marketing Guide.
  • Scheduling and Time Management: Demonstrates flexibility with assignments within professional scope/duties/licensure.
  • Adhere to all applicable federal, state, and local regulations, including those related to infection control, safety, abuse, neglect, and resident privacy (HIPAA).
  • Regularly complete all assigned training modules and courses within the Learning Management System (LMS) to stay up to date on required skills, policies, and industry standards.

Non-essential Duties

  • Administrative Support: Provide administrative support to the marketing and admissions departments, including managing schedules, maintaining records, and other clerical tasks as needed.
  • Resident and Family Support: Assist residents and families with the transition process, offering guidance and resources to ease their move into the facility.
  • Staff Training: Assist in training staff on effective communication and customer service techniques to support the admissions process.

Responsibilities

Preferred Experience

  • Minimum of 2-3 years of experience in marketing, sales, or admissions, preferably in a healthcare setting. 
  • Experience in long-term care or senior living facilities is a plus.

Required Licensure/Education

  • Bachelors Degree in Marketing, Communications, Business Administration, Nursing, or a related field is required.

Preferred Education

  • RN licensure in the state of Illinois is preferred.
