Overview

The Clinical Scheduling Coordinator at Miller Healthcare is a key administrative role responsible for managing and coordinating the scheduling of clinical staff. This position ensures optimal staffing levels, efficient use of resources, and adherence to all regulatory and organizational guidelines. The Clinical Scheduling Coordinator will work closely with clinical teams and administrative staff to maintain a seamless and efficient workflow. Demonstrates flexibility with assignments within professional scope/duties/licensure.

Essential Duties

  • Staff Scheduling: Coordinate and manage the schedules of clinical staff, including nurses, Certified Nursing Assistants, and other healthcare professionals, ensuring coverage meets patient care needs and resident census. 
  • Communication: Serve as the primary point of contact for staff regarding scheduling inquiries, changes, and confirmations. Communicate any schedule changes promptly to all relevant parties.
  • Data Management: Maintain accurate and up-to-date records of staff schedules and any related documentation in the scheduling system.
  • Compliance: Ensure all scheduling practices comply with healthcare regulations, labor laws, and organizational policies.
  • Problem Solving: Address and resolve scheduling conflicts, last-minute changes, and staffing shortages, ensuring minimal disruption to patient care.
  • Reporting: Generate and analyze scheduling reports to identify trends, forecast staffing needs, and provide recommendations for improving scheduling efficiency.
  • Collaboration: Work closely with department heads, clinical managers, and HR to align scheduling practices with organizational goals and patient care standards.
  • Adhere to all applicable federal, state, and local regulations, including those related to infection control, safety, abuse, neglect, and resident privacy (HIPAA).
  • Regularly complete all assigned training modules and courses within the Learning Management System (LMS) to stay up to date on required skills, policies, and industry standards.

Non-essential Duties

  • Assist with general administrative duties as needed, including answering phones, filing, and responding to email inquiries.
  • Participate in team meetings and provide input on scheduling processes and improvements.
  • Assist with the onboarding and orientation of new clinical staff related to scheduling procedures.

Responsibilities

Required Experience

  • Minimum of 2 years of experience in a healthcare scheduling or administrative role. 

Preferred Experience

  • Must demonstrate a high level of professionalism, discretion, and the ability to handle sensitive information. Flexibility to adjust hours based on staffing needs may be required.
  • Proficiency in scheduling software and systems, strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. Excellent communication and interpersonal skills are essential.
  • Experience in a clinical setting is strongly preferred.

Required Licensure/Education

  • High school diploma or equivalent required. 

Preferred Education

  • Certifications in healthcare administration or related fields are a plus.
  • Associates degree in healthcare administration, business, or a related field preferred.
